Description
St. Bonaventure University is seeking a part-time (20 hours/week, regular business hours) Administrative Assistant to support program operations, database management, and the needs of students and faculty within our online Master of Science in Speech Language Pathology program. This role is fully remote and central to the smooth functioning of both academic and clinical aspects of the program. The successful applicant will demonstrate a commitment to excellent service along with strong organizational and communication skills. Flexibility and the desire to work in a collaborative, fast-paced, engaged environment is a must. Previous higher education experience and/or program operations experience is a plus.
Examples of Duties
Program and Faculty Support
- Provide day-to-day administrative support to the Program Director, Director of Clinical Education, and faculty
50%Scheduling and Communications
- Coordinate scheduling for classes, meetings, interviews, and events involving faculty, students, and external partners.
- Provide timely, professional, and service-oriented responses to questions and requests from students, faculty, and external partners.
15%Data Management and Reporting
- Maintain accurate and secure program records, including meeting minutes, databases, assessment data, and accreditation documentation.
- Help prepare and organize program reports, such as assessment summaries, accreditation updates, and tracking documents for licensure and certification.
- Support financial processes and procedures across budgeting and reporting
20%Technology and Remote Operations
- Support remote collaboration and technology needs, including Zoom scheduling, shared drive organization, and basic troubleshooting for faculty and students.
- Assist with ordering and distributing materials such as instructional supplies, handbooks, and student resources.
- Assist with maintaining and organizing digital resources to support online learning and remote operations.
15%Typical QualificationsEducation: - Associate degree or equivalent work experience required; bachelor's degree preferred
- Experience in higher education, academic administration, or program coordination strongly preferred.
Years of Experience: 1 year of related experienceApplicants must be legally authorized to work in the U.S. on an ongoing basis without sponsorship. Knowledge, Skills, and Abilities:
Technical Proficiency - Skilled in Microsoft Office Suite (Word, Excel, PowerPoint) and online collaboration tools (Zoom, Teams, Google Drive, etc.).
-Comfortable learning and using academic and clinical software systems (e.g., CALIPSO, Simucase, Master Clinician Network).
Organizational Skills - Excellent attention to detail, accuracy, and follow-through when managing records, databases, and multiple tasks simultaneously.
- Proven ability to meet deadlines and maintain organization in a remote, fast-paced environment.
Communication Skills - Strong written and verbal communication skills to interact professionally with students, faculty, and external partners.
- Ability to draft clear emails, announcements, and documentation with a service-oriented tone.
Administrative Expertise - Experience coordinating meetings, scheduling, and managing calendars across multiple stakeholders.
- Knowledge of recordkeeping practices, expense reimbursements, and travel coordination.
Data & Documentation Management - Ability to collect, organize, and summarize data accurately for reports, accreditation, and assessment purposes.
